Who we are

This website is run by Smartsys Technology Solutions Limited, trading as Smartsys Networks, a company registered in England & Wales (Company No. 16012705). Our registered office is Hoults Yard, Walker Road, Newcastle upon Tyne, NE6 2HL. We are responsible for the personal information described on this page.

For any question about your information, email [email protected] or call 0191 603 1991.

What we collect through our forms

When you use our contact or quote form, we receive what you type in: usually your name, email address, phone number, company, the postcode of the site, details about the job and how you found us.

We use this only to reply to you, prepare a quote and, if you go ahead, carry out and invoice the work. We don't sell it, and we don't add you to a mailing list.

Our legal basis is that you have asked us to get in touch, so we are taking steps at your request before a possible contract, and we have a legitimate interest in answering business enquiries.

How the forms are sent

Our forms are handled by Formspree, which passes your message on to us by email. Formspree is based in the United States, and transfers are protected by the safeguards UK data protection law requires.

How long we keep it

If an enquiry doesn't lead to any work, we delete it within two years. If you become a customer, we keep your details for as long as we work together and then for six years, which is how long UK law requires us to keep business and tax records.

Cookies and Google Analytics

We use Google Analytics to see how many people visit the site, which pages they look at, how they found us (for example a Google search or our Google Business Profile) and whether they get in touch. This helps us improve the website. It tells us about visits in general; we don't use it to identify you.

Google Analytics sets these cookies in your browser:

  • _ga: tells one visitor apart from another. It lasts up to 2 years.
  • _ga_62L34ZD71F: remembers your current visit. It lasts up to 2 years.

Google processes this information for us and may store it in the United States. Google Analytics does not store your full IP address. We keep detailed Analytics data for 14 months.

You can block or delete cookies in your browser settings at any time, or install Google's Analytics opt-out browser add-on. The website works the same without them.

We don't use advertising or tracking cookies from social networks.

Other services that help run the site

  • Cloudflare protects the site from attacks and spam and helps it load quickly. It sees your IP address and may set a short-lived security cookie.
  • Our web server, hosted with Vultr in Manchester, keeps standard logs of visits (IP address, page and browser) for security, for a short time.
  • Google Fonts and jsDelivr supply some of the fonts and icons, so your browser fetches them directly from those services.
  • Links to WhatsApp, LinkedIn, Instagram and Google Maps take you to those services, which have their own privacy policies.

Your rights

You can ask us for a copy of the information we hold about you, and ask us to correct it, delete it, limit how we use it or stop using it. Email [email protected] and we'll reply within one month.

If you're unhappy with how we've handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
